The checklist
What to put on a freelance invoice
Clients pay faster when nothing needs a follow-up question. Include these, and check your local rules for anything extra, such as a tax number.
- Your details and your client's. Name or business name, address and contact for both sides.
- A unique invoice number. Numbers that count up make invoices easy to find and reconcile.
- Issue date and due date. State the payment terms, for example 14 or 30 days.
- What the work was. A line per project or task, with hours and rate.
- The total, with tax. Show the subtotal, the tax rate and the amount due, in one currency.
- How to pay you. Bank details or payment instructions, and any notes such as late fees.

Let your tracked hours fill the invoice
Retyping hours into a spreadsheet is where mistakes and late invoices come from. Clockbill builds the invoice from the time you tracked.
-
Hours and rates fill in
Pick a client and a date range. Each project becomes a line with its hours, rate and amount, in the right currency.
-
Numbering that continues
Invoice numbers count up on their own and stay in sync across your devices.
-
Tax, due date and notes
Add a tax rate, a due date and your payment details once, and they carry over to the next invoice.
-
Save as PDF
Print the invoice to a PDF from your browser. This is free, with no watermark.
-
Your own layout (Pro)
Upload a PDF or a picture of the invoice you already send. Clockbill copies the layout, labels, colors and fixed details, then fills it from your hours.
-
Email it (Pro)
Send the invoice to your client from Clockbill with a secure link, now or scheduled, and see when it was opened.
See how the custom layout works in invoice templates, and how sending works in invoice emailing.
Questions about freelance invoices
Is this a downloadable Word or Excel template?
No. Clockbill builds the invoice in your browser from your tracked time, and you save it as a PDF. If you already have your own Word or Excel invoice, upload it as a PDF on Pro and Clockbill copies the layout.
What payment terms should I use?
Common terms are 14 or 30 days from the issue date. Pick what your contract says, and put the due date on every invoice.
How should I number invoices?
Use a sequence that never repeats, such as INV-0001, INV-0002. Clockbill continues from your last invoice number automatically.
Do I need to charge tax?
It depends on where you and your client are. Clockbill lets you set a tax rate on each invoice, but check your local rules or ask an accountant what applies to you.
Is it really free?
Yes. Tracking, reports and printable invoices are free, with no trial and no credit card. Pro adds custom invoice layouts and emailing.
