How it works

How to calculate hours worked

  1. 1. Find the length of each shift

    Subtract the start time from the end time. 9:00 to 17:30 is 8 hours 30 minutes. Using a 24-hour clock avoids AM/PM mistakes.

  2. 2. Subtract unpaid breaks

    Take off any break you aren't paid for. 8 hours 30 minutes minus a 30-minute lunch is 8 hours.

  3. 3. Add up the week

    Add the hours of each day. Five 8-hour days make 40 hours.

  4. 4. Convert to decimal hours for pay

    Divide the minutes by 60: 37 hours 45 minutes is 37 + 45 ÷ 60 = 37.75 hours. Multiply by your hourly rate to get your pay, with overtime hours at the higher rate.

Questions about time cards

How do I calculate hours worked?

For each day, subtract the start time from the end time and then subtract unpaid breaks. For example, 9:00 to 17:30 with a 30-minute break is 8 hours. Add up the days for your weekly total.

How do I handle a shift that ends after midnight?

Enter the times as they are, for example 22:00 to 06:00. When the end time is earlier than the start time, the calculator counts it as an overnight shift and adds the hours past midnight.

How is overtime calculated?

Hours above the weekly limit you set are counted as overtime and paid at the multiplier you choose, for example 1.5× after 40 hours. Rules differ by country, state and contract; some places also count overtime per day. Check what applies to you.

What are decimal hours?

Payroll and invoices usually show time as a decimal: 7 hours 45 minutes is 7.75 hours. The calculator shows your weekly total both ways. Use the decimal hours converter for single values.
